Simplifying Scheduling at a Major University

The University of New Mexico-Los Alamos boasts an outstanding faculty and diverse campus located in Los Alamos, New Mexico. UNM-LA is a branch of the largest four-year university in New Mexico and maintains close ties with its Albuquerque campus.
Since 1889, UNM has provided the highest quality academic curriculums including the nation’s second best rural medicine program as voted by U.S. News and World Report for the eighth consecutive year.
The Situation
While The University of New Mexico-Los Alamos was exceptional from an academic viewpoint, its scheduling procedures needed to be brought up to that same level in order to better facilitate its programs.
An assessment by the University’s IT department revealed a number of facets in their current system that were making it less than efficient.
- All rooms / equipment at the university had to be scheduled through Sandi Sturges via telephone, causing an unnecessary administrative burden.
- Such a system was tedious and did not allow for adequate flexibility to changes in the schedule.
- Pen and paper scheduling techniques increased the work effort and the likelihood of errors.
The Solution
The University of New Mexico-Los Alamos purchased and began using Meeting Room Manager last spring.
Twenty-five people throughout the campus will be able to log on and reserve rooms/equipment from separate locations at their convenience. Many more will have the ability to view the updated schedule from their browser twenty-four hours a day, seven days a week.
Results
Meeting Room Manager has helped The University of New Mexico-Los Alamos prepare for a well-organized] and smooth start to the school year.
- Classrooms are now booked simply and without error on a single calendar available for everyone to view and 25 people to edit.
- UNM-LA has experienced estimated timesavings above 80% giving their staff more time to focus on other pressing issues.
- The UNM-LA IT department has found MRM to be very user friendly and is experiencing a smooth transition into their new and improved scheduling process.
